Open enrollment season is an important time of year at every organization! Once your renewal decisions are finalized, the most important thing is making sure your employees understand the plans you worked so hard to put together. Follow these steps below and you should be on your way to a successful open enrollment!
- Finalize Employee Materials: It is important to create a benefits document that succinctly details each of the plans that your organization offers. This document shouldn’t be used to capture every single nuance about the plans, but rather provide a general overview of each benefit. You want to avoid information overload but still provide a clear, concise document that the employee can use as a point of reference throughout the year.
- Determine Your Communication Style: One of the most common things we hear is that employees do not fully understand their plans. Communication is a key component of open enrollment. What works best for your employees? Is it easy to get everyone together for in-person meetings or does it make more sense to host a webinar online? Try to make sure your communication strategy aligns with the needs and convenience of your employees so they get the most out of the meetings!
- Encourage Questions and Feedback: Chances are if one of your employees asks a question during the meeting, there are more people sitting there with that exact same question. Always encourage employees to speak up with any questions they have or provide them with a resource that they can reach out to for guidance. It is important to get an understanding of what types of questions employees have and what their general feedback is on the plans so you can start planning ahead for next year’s open enrollment season!
